Use the AI Filing Agent to manage VAT filings across multiple companies, stores and reporting periods. It matches sales data to filings, calculates tax automatically, and helps you review, confirm and submit filings individually or in bulk.
1 Before You Start
What You Can Do
- Upload Amazon sales reports or sync sales data from your connected stores.
- Automatically match sales data to the relevant company, store, VAT number, filing type and reporting period.
- Automatically calculate tax for eligible reporting periods, then review the Tax Calculation Inputs and results in one place.
- Confirm data accuracy, recalculate tax and submit filings individually or in bulk, and track the results.
What to Prepare
- To use Sync Sales Data, connect your stores first through Store Linking. Go to Merchant Portal > Store Linking
- If you upload sales reports, make sure they are Amazon reports for the correct stores and sales periods.
- If a store is not mapped to a company, follow the prompt to update its store ID mapping before continuing. Go to AI Filing Agent > Automatic Tax Calculation Settings > Store ID Mappings.
2 Open the AI Filing Agent
1. Go to VAT+ > Filings > Pending Filing in the Merchant Portal.
2. Select AI Filing Agent at the top right of the list.
3. In the Agent panel, upload sales reports or select Sync Sales Data.
3 Import Sales Data
Option 1 Upload Sales Reports
1. In the Agent panel, select and upload your Amazon sales reports. You can select several files at once or upload them in separate batches.
2. The system automatically analyses the reports, splits the files, removes duplicates and matches the data to the relevant filings.
3. Once the data is matched, the corresponding reporting periods appear in Filings Pending Submission.
Option 2 Sync Sales Data
1. Select Sync Sales Data in the Agent panel.
2. The system retrieves the relevant monthly sales data from your connected stores for the periods pending filing.
3. It then matches the data to the relevant filings and continues processing.
Understanding the Import Results
4 Review Filings Pending Submission
Matched filings appear in Filings Pending Submission. Use the list to review each company, VAT number, reporting period, Tax Calculation Inputs, key amounts and current processing status.
Common Statuses
Note: Only the earliest filing period currently eligible for processing enters automatic tax calculation. Sales reports remain linked to later periods, which display Pending Prior-period Filing.

5 Review and Confirm Filing Data
1. Find a filing with the tax calculation status Results Generated. Select Confirm Data Accuracy, or open the filing details to review the data.
2. Check the sales reports, VAT numbers submitted for validation, other deductions and tax calculation results.
3. Once you confirm that the data is accurate, the Submission Status changes to Ready to Submit.
If you change the sales reports, VAT numbers, store ID mappings, deductions or other data that affects the calculation, the system recalculates tax. Your previous confirmation is no longer valid, so you must confirm the updated data again.
6 Individual and Bulk Actions
Individual Actions
For an individual filing, you can select actions such as Edit, Recalculate Tax, Confirm Data Accuracy, Submit Filing, or Tax Confirmation Letter to view the letter.
Bulk Actions
Submit Filings in Bulk
Before submitting in bulk, check the company, VAT number, filing type, filing period, VAT Payable and cross-border B2B data for each filing. Complete the confirmation checkbox on the page.
Filings with the status Pending Prior-period Filing cannot be submitted in bulk.
7 Review Processing History
Open Processing History from the list, an Agent response or Store ID Mappings to review how each sales report was processed.
Processing History shows:
- The original file and any generated split files.
- The processing status, such as Processing, Successful or Failed.
- The Store ID, matching result or reason for failure.
- An Update Store Mapping action when a store cannot be matched to a company.
Use Processing History to trace file processing, matching and the association of sales data with filings. It does not show tax calculation results.
8 While a Filing Is Being Processed
- If another operation is processing the same filing, you can still view the latest information, but some actions that change the filing are temporarily unavailable.
- If the page indicates that bulk tax calculation is in progress or displays In Use by Another User, wait for processing to finish, then try again.
- If a filing's status changes during bulk submission, the system continues submitting the other eligible filings. Download the results to see why any filings were not submitted.
9 Frequently Asked Questions
Why Is a Filing Period Missing
There may be no sales data available for that period, the sales report may not have been matched successfully, or there may be no pending filing for the period. Check Processing History, then upload reports or sync data as needed.
Why Can I Not Confirm or Submit a Filing
You cannot confirm or submit a filing while its tax calculation status is Calculating Tax, Pending Recalculation or Tax Calculation Failed. Wait for the calculation to finish, or recalculate tax before continuing.
Why Do I Need to Confirm the Data Again
Changes to sales reports, VAT numbers, store ID mappings or deductions can affect the tax calculation results. The system recalculates tax using the latest data so that the filing you submit is consistent with the current results.
What Should I Do if Bulk Submission Fails
Download the failed records from the bulk submission results and check the specific reason for each failure. Follow the instructions to provide missing information, renew the service, resolve any deregistration issues or resubmit the filing.
